Aurex (“we”, “us”) is the controller of personal information collected through this website and in the course of providing hospitality accounting services to restaurants, bars and food businesses. This notice explains what we collect, why we use it, and the rights you have under UK data protection law, including the UK GDPR.
Information we collect
When you submit an enquiry we collect your name, company name, email address, telephone number, the service you are interested in, and any message you choose to send. If you become a client, we will collect the additional information needed to provide accounting, tax and payroll services, as set out in our letter of engagement.
How we use it
Enquiry data is used to respond to you and, where relevant, to prepare a proposal. Client data is used to deliver the contracted services, to meet legal obligations to HMRC and Companies House, and to keep records required of an accounting practice.
Legal bases
We rely on legitimate interests to respond to website enquiries, on contract to deliver client work, and on legal obligation where filings and record-keeping are required by law. Where we need consent, we will ask for it separately.
Sharing
We do not sell personal information. We may share it with software providers used to run the practice, with HMRC or Companies House where a filing or authorised correspondence requires it, and with professional advisers or regulators where we are required to do so.
Retention
Enquiry records that do not become client engagements are kept only as long as needed to complete the conversation and for a reasonable follow-up period. Client records are retained for the periods required by law and professional practice.
Your rights
You may request access to your personal data, correction, deletion in certain cases, restriction or objection to processing, and data portability. You may complain to the Information Commissioner’s Office if you are not satisfied with how we handle your information.
